User Roles and Permissions in Daily AI

Understanding the different user types, roles, and permissions in Daily AI is a critical step in how you want to setup your enterprise.


Super Admin

  • Enterprise
    • Can create Teams, Admins, Mangers, Team Leads, Agents, & Marketing Officers.
    • Can assign Managers, Team Leads, Agents & Marketing Officers to Teams.
  • Permissions:
    • Can enable/disable Monthly Subscriptions (Assigning managers to pay for monthly subscription of users under them).
    • Can allow Admins to add Managers.
    • Can select who is able to add Loan Officers. (Admins, Managers, & Team Leads)
    • Can enable managers to buy additional refill credits for their users.
    • Can select who can download the contact and transactions list as a CSV File.
    • Can select who can change their company name. (Admins, Managers, & Team Leads)
    • Can enable who is required to sign through Single Sign On (SSO). (Admins, Managers, Team Leads, Agents & Marketing Officer)
    • Can enable/disable Partner Message and select who can set custom messages against Partners. (Admins, Managers, Team Leads, & Agents)
    • Can enable/disable Website Landing Page and select who can create custom Website Landing Page. (Managers, Team Leads, & Agents)
    • Can enable/disable Marketing Screen and select who can access the Marketing Screen. (Admins, Managers, Team Leads, & Agents)
    • Can enable/disable Nurture Notifications and who can create custom Nurture Notifications. (Managers, Team Leads, & Agents)
    • Can enable/disable General Email Templates.
    • Can enable/disable Contact Mass Actions and select which mass actions can be performed by users. (Drip Campaigns, Tags, Group, Delete, Email, Reassign, SMS, Voicemail, Merge Contacts)
    • Can set the Plan & Billing for the entire enterprise
    • Can set Custom Fields for the entire enterprise
    • Enterprise Settings (set a picture to replace Daily AI logo).
  • Transactions
    • Cannot manage or create transactions in Daily AI.
  • Milestones
    • Super Admins share a set of milestones, actions, and templates with the admin.
    • Can give permission to managers to milestones, actions, and templates for their teams.
  • Contacts
    • Cannot see any contacts.
  • Partners
    • N/A

Admin

  • Enterprise
    • Can create Teams, Mangers, Team Leads, Agents, & Marketing Officers.
    • Can assign Managers, Team Leads, Agents & Marketing Officers to Teams.
  • Drip Campaign
    • Can create drip campaigns, cannot add/remove contacts to drip campaigns.
    • Share drip campaigns with only existing users; or managers that are created or users not created as part of a team.
    • Can see all drip campaigns in the organization - but can only edit drips created by the Admin. In the event of multiple admins, you're only allowed to edit the drips created by that Admin account.
  • Transactions
    • Can view and edit all transactions.
    • Can toggle between all transactions and transactions that were created under the admin account.
    • Transaction loan officer cannot be changed by any user.
    • Can download transaction list.*
  • Milestones
    • Can set milestones, actions and templates for the whole organization.
    • Similar to a Super Admin, milestones are shared down through the entire enterprise.
  • Settings
    • Can create default Nurture/post close nurture templates.
    • Can create source and tags which will be synced with all Managers, Teams Leads, and Agents.
    • Can set custom email templates, but has no ability to push down to other users.
    • Can see email campaigns sorted into Managers, Team Leads, and Teams.
  • Contacts
    • Can view and edit all contacts in the organization.
  • Marketing
    • Can access the Maxa Marketing Portal.
  • Website
    • N/A
  • Partners
    • Can set global custom messages for all team members and is also prebuilt for all future users.
  • Task
    • Assign tasks to all other officers, with or without attaching contacts.
    • Can view and edit tasks created in the Admin account.
  • Media
    • Can create own video and audio contact in the Media page for the purpose of adding to drip/milestones. Not shared with other users.
  • Communications
    • N/A

Manager

  • Enterprise
    • Can create Teams, Team Leads, Agents, & Marketing Officers.
    • Can only assign themselves as the manager of Teams, Team Leads, Agents & Marketing Officers that they create.
  • Drip Campaign
    • Can create drip campaigns, and add/remove contacts to drip campaigns.
    • Share drip campaigns with only existing users; or existing and future users automatically when a new account is created.
    • Can view and edit drip campaigns that were created by the Manager or pushed down to the Manager. 
    • Can filter and view drips of different teams. (Team Leads list)
  • Transactions
    • Can create transactions in Daily AI & can get transactions assigned to the Team Lead account from Encompass.
    • Can share transactions to other members under the Manager account.
    • Can view and edit all transactions, along with transactions added from Encompass.
    • Can toggle between all transactions and transactions that were created under the admin account.
    • Transaction loan officer cannot be changed by any user.
    • Can download transaction list.*
  • Milestones
    • Can set milestones, actions and templates for teams listed under the manager account.*
  • Settings
    • Can access the plan and billing page and add payment cards IF the manager is paying for subscriptions or refills.
    • Can sort the list of users based on Team Leads, Teams, and their respective remaining credits.
    • Can buy additional credits for Manager account, Team Leads, or Agents.*
    • Can create source and tags which will be synced with all Team Leads and Agents under them.
    • Can set lead routing rules for sources and tags on the Manager account and Team members that under them.
    • Can set lead notification and task notification for Manager account.
    • Can set custom Nurture template & post close template for Manager account.*
    • Can set a custom email template for Manager account.*
    • Can see email campaigns sorted into Team Leads, and Teams.
    • Can create Custom Fields and modify custom fields that are created by the Manager account. Can be used by all users under the Manager account.
    • Can integrate their Gmail/Outlook account.
    • Can integrate their Zapier account.
    • Can set email signature, & V-card.
  • Contacts
    • Can see all contacts from the teams under the Manager Account, along with the contacts created by those teams and assigned to them from different sources.
    • From the contact page the Manager account can add contacts only to those drips created by the Manager account or shared with.
    • Can download contact list unless.*
    • Create contact groups for the Manager account, these contact groups are not shared with other users.
  • Marketing
    • Can access the Maxa Marketing Portal.
  • Website
    • Can set their own website landing page.
  • Partners
    • Managers can add partners, & not shared with other users.
    • If permitted by Super Admin, managers can set custom messages for individual & all partners of the Manager account.
  • Task
    • Can assign tasks to all other users below them.
    • Cannot assign task to Admin
    • Can view and edit tasks created in the Manager account.
    • Can view tasks created by the Admin and assigned to the Manager account.
    • Can perform assigned tasks and impromptu tasks for a contact.
  • Media
    • Can create own video and audio contact in the Media page. Not shared with other users.
  • Communications
    • See communications of contacts from their contact list.

Team Lead

  • Enterprise
    • This tab is only applicable if the user is on a team.
    • Can create Agents and also make Privileged Agents. 
    • Can only assign themselves as the Team Lead of the Agents & Privileged Agents that they create.
  • Drip Campaign
    • Can create drip campaigns, and add/remove contacts to drip campaigns.
    • Share drip campaigns with only existing users; or existing and future users of their team only.
    • Drip routing enabled, only for the sources that are created in the Team Lead settings.
    • Can view and edit drip campaigns that were created by the Team lead and the Agents on the team.
  • Transactions
    • Can create transactions in Daily AI & can get transactions assigned to the Team Lead account from Encompass.
    • Can share transactions to other members of the team/
    • Can view and edit transactions from the team leads' list, transactions assigned to him from encompass, and transactions created by self. A particular transaction's loan officer cannot be changed by any user.
    • Can download transaction list unless.*
    • Can assign partners they have added to their transactions as a buying agent.
  • Milestones
    • Can set milestones, actions and templates for their team.*
  • Settings
    • Can access the plan and billing page and add payment cards IF the Team Lead is paying for subscriptions or refills.
    • Can see the list of users on their team, and their respective remaining credits.
    • Can buy additional credits for the Team Lead account.*
    • Can create source and tags which will be synced with only their team.
    • Can set lead routing rules for sources and tags on their team.
    • Can set lead notification and task notification for Team lead account.
    • Can set custom Nurture template & post close template for Team Lead account.*
    • Can set a custom email template for Team Lead account.*
    • Can see the email campaigns of the Team lead account and their team only.
    • Can integrate their Gmail/Outlook account.
    • Can integrate their Zapier account.
    • Can set email signature, & V-card.
  • Contacts
    • Can see contacts created by them, contacts assigned to them, contacts for which tasks are assigned to them and their team's contacts. Cannot see contacts of other teams. Toggle between their contacts and all contacts of their team.
    • From the contact page, the Team Lead can add contacts only to those drips created by the Team Lead or shared with.
    • Can download contact list.*
    • Create contact groups for the Team Lead account, these contact groups are not shared with other users.
  • Marketing
    • Can access the Maxa Marketing Portal.
  • Website
    • Can set their own website landing page.
  • Partners
    • Can add a partner for Team Lead account.
    • Can see all partners added by Agents on their team. 
    • Can set custom messages for individuals and all partners added by all Agents on the team.
    • Can set custom messages for loan officers in his team against individuals and all partners.
    • Can assign contacts to drip campaigns created by or shared to him against individual and all partners.
  • Task
    • Can assign tasks to all agents on their team
    • Cannot assign tasks to the Manager or members of other teams.
    • Can view and edit tasks created in the Team Lead account.
    • Can view tasks created by Team Lead and assigned to the Team Lead account and all tasks of their team.
    • Can perform assigned tasks and impromptu tasks for a contact.
  • Media
    • Can create own video and audio contact in the Media page. Not shared with other users.
  • Communications
    • See communications of contacts from their contact list.
  • Reporting
    • Can send partner reports selected Partner contacts.
    • Users must have an email account integrated into account to use this feature.

Agent


  • Privileged Agent
    • An Agent can be set to a Privileged Agent by any user above them. (Super Admin, Admin, Manager, Team Lead)
    • View, edit, and communicate with contacts & partners created by/assigned to their team leader(s), or other agents on the same team(s)
    • Add contacts to drips owned by the team leader or other agents on the same team(s)
  •  Drip Campaign
    • Can create drip campaigns, and add/remove contacts to drip campaigns.
    • Cannot share drip campaigns to any other user.
    • Drip routing only for the sources copied from their Team lead, or sources created by the agent themselves.
    • Can view and edit drip campaigns that were created by themselves and shared with them.
  • Transactions
    • Can create transactions in Daily AI & can get transactions assigned to the Team Lead account from Encompass.
    • Can share transactions to other agents on the same team.
    • Can view and edit transactions assigned to them from encompass, transactions created by self and transactions shared from manager, team lead, or team members. A particular transaction's loan officer cannot be changed by any user.
    • Can download transaction list.*
    • Can assign partners they have added to their transactions as a buying agent.
  • Milestones
    • Can only view milestones from: Their Team lead if they are assigned to one, or Manager if there is no Team Lead, as well as Admins if they are a standalone agent.
  • Settings
    • Can access the plan and billing page and add payment cards IF the Agent is paying for subscriptions or refills.
    • Can buy additional credits for an Agent account.*
    • Can create sources and tags, but will not be shared with others.
    • Can set lead notification and task notification for themselves.
    • Can set custom Nurture template & post close template for Agent account.*
    • Can set a custom email template for an Agent account.*
    • Can see the email campaigns of other Agents on the same team only.
    • Can integrate their Gmail/Outlook account.
    • Can integrate their Zapier account.
    • Can set email signature, & V-card.
  • Contacts
    • Normal Agents can see contacts created by them, assigned to them and contacts for which tasks are assigned to them. Only Privileged Agents can see all contacts of the team including those of team leader.
    • From the contact page an Agent can add contacts only to those drips created by the Agent or shared with the Agent.
    • Can download contact list.*
    • Create contact groups for their Agent account, these contact groups are not shared with other users.
  • Marketing
    • Can access the Maxa Marketing Portal.
  • Website
    • Can set their own website landing page.
  • Partners
    • Can add a partner to their own account. Partners are not shared with other agents.
    • Same partner can exist in multiple Agent accounts.
    • Can only see partners that were added by them.
    • Can set only individual custom messages for only the partners they added.
    • Can set only individual custom messages for Agent against only the partners they added.
    • Can set only individual custom messages for contacts against only the partners they added.
    • Can assign contacts to drip only against individual partners. Can assign to drips created by the Agent, or to those shared with the Agent.
  • Task
    • Can assign tasks to all agents on their team.
    • Cannot assign tasks to the Team Lead, or members of other teams.
    • Can view and edit tasks created by the Agent account.
    • Can view tasks created by their Agent account and assigned to them
    • Can perform assigned tasks and impromptu tasks for a contact.

  • Media
    • Can create own video and audio contact in the Media page. Not shared with other users.
  • Communications
    • See communications of contacts from their contact list.
  • Reporting
    • Can send partner reports selected Partner contacts.
    • Users must have an email account integrated into account to use this feature.

Marketing Officer

(These are special users that are free and communicate on behalf of other Agents on the team)


  •  Drip Campaign
    • Cannot create drips
    • Cannot share drip campaigns to any other user
    • Can view and add contacts to all drip campaigns of their team..
  • Transactions
    • Can view all transactions from their team members. 
    • Cannot add or edit transactions. A particular transaction's loan officer cannot be changed by any user
  • Milestones
    • No milestone page
  • Settings
    • Marketing Officers cannot create sources or tags, nor get them transferred from team leads.
    • Can buy additional credits for the Marketing Agent account.*
    • Can set task notifications for themselves. No lead notification available.
    • Can set custom email templates.*
    • Can see email campaigns of the loan officers from their team alone.
    • Can set email signature, & V-card.
  • Contacts
    • Can see all contacts of their team, contacts they created, and those contacts for whom they have a task assigned to.
    • From the contact page, they can add contacts to any drips
    • Can download contact list.*
    • Create contact groups for their account, these contact groups are not shared with other users.
  • Marketing
    • N/A
  • Website
    • N/A
  • Partners
    • Can see all partners added by team members including team lead.
  • Task
    • Can assign tasks to all other loan officers on their team(with or without attaching contacts). 
    • Cannot assign tasks to Team lead or members of other teams..
    • Can view and edit tasks created by themselves.
    • Can view tasks created by their Agent account and assigned to them
    • Can perform assigned tasks and impromptu tasks for a contact.
  • Media
    • Can create own video and audio contact in the Media page. Not shared with other users.
  • Communications
    • See communications of contacts from their contact list.
