Referral Partner Report Automation Action

The Referral Partner Report action allows teams to automatically send structured reports to partner-type records through Contact Automations. This feature enhances communication with referral partners by including customizable report data and an optional CSV attachment.

This action functions like a standard email automation, with additional reporting capabilities specific to partner records.

How It Works

When added to a Contact Automation, the Referral Partner Report:

  • Functions like a standard email action
  • Generates a report attachment (CSV)
  • Only executes for partner-type records

If a non-partner record enters the automation, the action will not execute for that record.


Adding a Referral Partner Report Action

Step 1: Open the Automation Builder

Navigate to Automations and create or edit a Contact Automation.

 


Step 2: Add a Communication Action

Click Add Action, then select:

Communication → Referral Partner Report

 


Step 3: Configure the Report

 

Important: The Referral Partner Report action is available only in Contact Automations



Email Configuration

You may customize:

  • Subject line
  • Email body content

Example message:

“Hey Partner, check out these records.”

This allows you to tailor the communication to your workflow and branding.


Time Frame Selection

You can define the time range for included referred records.

Available options may include:

  • 3 Months
  • 6 Months

Only records within the selected time frame will be included in the report.

 


Field Selection for CSV Attachment

The report generates a CSV file containing selected fields.

Field Categories

Mandatory Fields (Cannot Be Removed)

These fields will always be included:

  • Full Name (Contact)
  • Last Contacted Date
  • Status
  • Loan Number

Default System Fields

Common contact and transaction fields are pre-selected, such as:

  • Phone Number
  • Email Address
  • Transaction Status
  • Closing Date

These fields can be deselected if desired.


Custom Fields

  • Custom fields are available for selection
  • They are not selected by default
  • Enterprise accounts may see a larger list depending on configuration

 

This action only executes for Partner-type records. If a non-partner record enters the automation, the action will not run for that record.

The report generates a CSV attachment based on the fields selected in the configuration. Mandatory fields cannot be deselected and will always appear in the file.

System fields are selected by default, while custom fields must be manually enabled. Review your selections carefully before saving the automation.


Automation Behavior

After saving and enabling the automation:

  • The action runs like any other email action
  • It executes automatically when conditions are met
  • It only generates for partner-type records

If a non-partner record enters the workflow:

  • The action will not send
  • No email will be generated for that record


When triggered through automation, the email will still send even if no matching records exist. In that case, the attached CSV file will be blank.


Important Behavior Differences

There is a difference between:

Referral Partner Report from the User Interface

When manually triggered from a partner record:

  • If no referred records exist within the allowed time frame,
  • The system displays an error message.

Referral Partner Report from Automation

When triggered through automation:

  • The email will still be sent
  • If no matching records exist,
  • The attached CSV will be blank

This ensures consistent delivery while maintaining data integrity.
