Contact Import Template

The Contact Import Template is the standardized spreadsheet used to create or update contacts inside Lendware. This template ensures your data maps correctly to the system and prevents upload errors. Below is a step-by-step guide on how to complete the template successfully.

Required Fields (Must Be Included for Every Contact)

To create a contact in Lendware, each row must include:

  • First Name
  • Last Name
  • At least ONE of the following:
    • Email Address, or
    • Phone Number

If these fields are missing, the system will not create the contact.

Clients and Partners Are Both “Contacts”

Lendware treats all individuals as Contacts, regardless of whether they are:

  • Borrowers / clients
  • Referral partners
  • Business contacts
  • Internal partners

If they should appear in your database, enter them into this template.

Contacts are separated into 2 types. This applies to the column called type.

  • CLIENT
  • PARTNER

Narrowing Down Contact Types

If you want to further categorize contacts (e.g., “Past Clients,” “Realtors,” “VIP,” “Vendors”), use Tags.

  • Tags help filter, segment, and automate contact workflows.
  • Tags are flexible and do not change how Lendware defines a “contact.”

Tag Formatting

  • Multiple tags can be applied.
  • Tags must be separated by a comma (e.g., Past Client, VIP, Texas Realtor).

  1. Loan Officer Column (Very Important)

The Loan Officer Name column determines who the contact belongs to in your Lendware environment and will be used by your implementation team to import the contacts into the appropriate loan officer. If the loan officer is on multiple teams please add which team the contacts should be importing into.

All contacts assigned to that user will populate under their account upon import.

Completing the Drop-Down Fields

There are two fields in the template that include predefined drop-down values:

Type

Accepted values are listed in the template drop-down. They are CLIENT and PARTNER.

Marital Status

Accepted values are listed in the template drop-down. Use only those exact options.

Address State

Use the two-letter postal abbreviation (e.g., TX, CA, FL).

These are also provided via drop-down in the template.

Using the dropdown values avoids import errors and ensures proper normalization.

Deduplication Rules (Critical)

Lendware automatically dedupes contacts based on phone number during import.

Users must follow these rules to avoid contacts being marked as invalid:

  • No two contacts may share the same phone number.
  • No two contacts may share the same email address.
  • Each contact must have at least one unique identifier:
    • A unique email, or
    • A unique phone number

Important Note

The system does not allow for contacts to share an email or phone number. If a contact shares this information at the time of the import they will not be imported and shown as invalid.

Example:

  • Contact A and Contact B share a phone number, but Contact A has a unique email.
  • Result: Contact B will not be imported and marked as invalid.

This ensures every contact in your system is uniquely identifiable.

Entering Standard Fields

All remaining standard contact fields—email, phone, addresses, tags, partner info—may be filled out as needed.

If you do not have data for a field, leave the cell blank.

Do not delete or rename columns.

Adding Custom Fields (Optional)

If you are importing data into custom contact fields:

  1. Scroll to the far right of the template.
  2. Add a new column for each custom field you want to import.
  3. Use the exact custom field name from your Lendware configuration as the column header.
  4. Enter the values for those fields in the new column(s).

This ensures the system properly maps custom data on import.

Using the Template for Self-Managed Imports

This template is a direct export of the same mapping used by the Lendware platform during import.

If you are importing your own contacts:

  • Always use this template
  • Do not adjust column names

Following the template ensures the system can translate your data without error.

File Format Requirements

Lendware accepts:

  • .csv
  • .xlsx

Best practice

Export your final file as CSV for the most reliable import experience.

Include All Contacts You Want Added

Each row represents a contact that will be created or updated.

Users should include:

  • All client contacts
  • All referral partners
  • Any business or marketing contacts
  • Any contact they want to live inside their platform

Anything not included in the file will not be automatically added.
